What you're actually getting

The building block is the Actor: a packaged scraping job somebody already built. You pick one from the marketplace, tell it which site and which data you want, run it, and the results land in a structured dataset you pipe onward through Zapier, Make, n8n, or webhooks.

What separates this from a one-off export is repeatability. The same job runs on a schedule and returns the same structure every time, so refreshing lead lists or watching competitor pages stops being a weekly manual chore. The tradeoff: someone sets the job up and checks on it whenever a website changes.

Apify is an infinite bank of scraping providers for any purpose, all through a single account. Excellent for scraping creatives and competitor sites.

Where it earns its keep

The strong use cases are repeat collection jobs: lead and market data pulls, price and page monitoring, browser-driven tasks that involve clicking and scrolling, and research workflows that need consistent output every run.

Most teams start from something pre-built in the marketplace, so common sites are covered without anyone touching code. Output then flows into whatever your stack already runs, through no-code connections or scheduled deliveries.

If you occasionally need various scrapers and don't use them too much, Apify is nice because there is a ton there. At a slightly larger scale, even a personal project, it sometimes gets too expensive, and then you usually have to subscribe to a specific scraper instead.

Where it'll bite you

Marketplace quality is the first bite. Ready-made Actors vary in how well they are maintained, so a site redesign or an abandoned Actor can quietly break your feed. Before you depend on one, pin down who fixes it when the source site changes.

Cost is the second bite. Usage is metered in compute units, roughly $0.20 each on lower tiers, and the meter runs faster with heavy browser rendering, retries, proxies, and parallel runs. Measure what one successful pull costs after all of that before you scale.

Scraping capability is not permission. You still own checking each source site's terms and handling any personal data lawfully.

That first week learning curve with Apify is painfully real.

The plan price is only the floor. Heavy pages, retries, and proxy use drive the real number, so price a small pilot against your actual target sites before trusting any headline rate.
